Creates a private blank workspace. Your lifts/stations, curriculum, students, inventory, vehicles, work orders, and shop data stay separate from every other program.
Staff can request Admin-site access. An AUTO-Trak administrator must approve the account before it can sign in.
Students submit a request from the Student site. Approval creates a confirmed AUTO-Trak account without waiting for Microsoft 365 email.
Enter only the roster information you already know. AUTO-Trak creates the student account immediately and generates a login code. The student completes license information after signing in.
Password-reset emails are not required. Use the Reset Password button beside an approved student to generate a temporary password directly.
Select a student to view completion by Ohio CTE course, then drill down into ODE outcomes, competencies, and AUTO-Trak units. Percentages are calculated from completed mapped tasks.
Driving privilege is separate from license status. A valid license does not automatically authorize a road test.
Manage Student, Student Leader, Staff, or Administrator access for the active program workspace. Student Leader remains a student permission level.
Approve staff who created an account from the Admin login page. Staff receive operational Admin-site access but cannot promote users to Admin.
License status and instructor driving approval are separate. A valid license alone never grants shop driving permission.
Create time-limited access for a substitute. Access automatically becomes invalid outside the selected time window.
Full-screen, read-only shop board for administrators. Switch between 1st Year and 2nd Year without changing the underlying shop data.
Lifts, tools, inventory, equipment serviceability, and out-of-service status are shared by both 1st Year and 2nd Year students. Changing Program View does not duplicate or hide these resources.
Pre-use rule: If a student reports NOT SERVICEABLE, AUTO-Trak places the station OUT OF SERVICE. Students cannot return it to service. Instructor verification is required.
Create, rename, or change stations here. Archive removes a station from normal use without deleting history.
Fields are blank unless there is a true default. Labels include units so you do not have to guess what a number means.
AUTO-Trak generates a new work-order number for every service visit. The selected charge account can stay the same.
Required accounts: School Vehicles, Shop Service, and Driver Education. School Vehicles is available in every Charge Account dropdown.
Enter these once. AUTO-Trak remembers them for future work orders.
Build one reusable barcode that can issue parts from many inventory locations to a work order in one scan.
Scan a kit against a work order to deduct all parts. AUTO-Trak checks inventory first and blocks the issue if anything is short.
Map actual school dates to the selected program year. 1st Year uses Days 1-180; 2nd Year uses Days 181-360. Holidays and school closings are shown in red and do not consume a curriculum day.
Holiday / School Closed Instructional School Day
Each instructor-approved completed ASE webinar/video earns a one-letter-grade bump on the student's current lowest eligible grade. Proof of completion and instructor approval are required.
Open ASE Education FoundationCurriculum updates use permanent task IDs and upserts. Installing Days 91-180 adds/updates the second 90 without deleting Days 1-90 or any student progress.
Year 1 production phase begins on Day 91. Braking Systems (177030) and Engine Performance (177006) remain the Year 1 ODE priorities.
Backups do not clear or roll over student history. Download a dated copy and store it in an approved school OneDrive/network location.
Master view of organizations and program workspaces. Program data remains isolated; this screen is for platform-level support.
Workspace-level controls for PII minimization, administrator sessions, MFA, retention, and security audit history.
When disabled, new students use an alias or generated AT-ID instead of a real name.
Recommended: leave OFF. AUTO-Trak generates its own AT-ID for every student.
This removes names, school IDs, grade level, class period, and road-test notes from archived student identity records older than the configured retention period. Curriculum and audit history stay tied to the generated AT-ID.
Checks the live AUTO-Trak database, required tables, key columns, and critical relationships before class.
Recover work orders, purchase orders, or students that were archived by mistake. Recovery never deletes historical task progress.
Creates an archived enrollment snapshot before moving students into a new school year. It does not erase curriculum progress, safety history, work orders, grades, tool history, or prior years.
